ý School District has over 52 separate buildings and 3.1 million ft2 (287,000 m2) of floor space. Approximately 100 custodians are working in our buildings each evening to prepare them for the next day.

The Assistant Manager of Building Operations is responsible for the afternoon and evening operation of the Greater Victoria School District including; cleaning, heating, security, and identification of maintenance issues. This position will usually work 10:00 am to 6:00 pm with occasional evening work.

We are looking for completion of relevant post-secondary education in operations management, engineering or comparable academic studies, plus three years of related experience, including the supervision and coordination of unionized employees, and experience working with stakeholders in a leadership role or an equivalent combination of education and experience acceptable to the District.

The Building Automation and Optimization Manager is an in-house building automation system expert employed by the Greater Victoria School District 61, working in the Facilities Management department. The Building Automation and Optimization Manager provides leadership to the various trades and possesses the knowledge, skills and mandate to interact directly with Principals, Custodians, and various Trades around the building automation systems. They will be responsible for identifying, assessing, implementing and documenting low cost / no cost operational type measures such as optimizing the schedules, setpoints, sensors and sequence of operations in customer’s existing building automation systems and developing a long-term strategic plan for the district.

QUALIFICATIONS:

  • Five (5) years’ experience as a Building Operator working in a multisite jurisdiction, such as a school district or health authority.
  • Red Seal Trade qualification in one of more relevant areas (HVAC, Plumbing, Refrigeration, Electrical)
  • Experience working with trades and contractors to facilitate HVAC projects
  • Experience in troubleshooting and debugging mechanical/HVAC and electrical/automation systems.
  • Bachelor’s degree or diploma in electrical, electronics, mechatronics, or mechanical engineering

Reporting to the Principal of Human Resource Services, the Human Resources Office Manager provides support services to School Administrators in the recruitment and selection and assignments of teachers and allied professionals. The Human Resource Office Manager provides support and counsel on a wide range of human resources management and labour relations issues associated with over 2,100 teaching professionals.

POSITION RESPONSIBILITIES

EDUCATIONAL STAFFING

  • Reviews educational preparation and experience qualifications for all teaching staff and approves and offers teacher assignments in accordance with the qualifications of the Collective Agreement.
  • Reviews and approves all short and long term requested leaves in accordance with Employment Standards and the collective agreement and provides recommendations as a member of the District Leave Committee.
  • Monitors the accuracy and efficiency of teacher staffing processes.
  • Facilitates the interviews of newly graduated teachers onto the TOC list.
  • Participates and promotes the school district in the recruiting of new teachers at career fairs.
  • Provides information to the Principal of Human Resources for meetings with the Union regarding grievances, labour / management discussions and negotiations.
  • Advises Principals, teachers and Administrative Assistants regarding the application of the collective agreement and other relevant legislation.
  • Maintains supportive working relationships with senior Union representatives.
  • Develops and delivers orientation sessions for newly hired teachers.

SUPPORT STAFF SUPERVISOR

  • Recruits and supervises Human Resources support staff.
  • Manages and reviews staff schedules and overtime to meet operational deadlines.
  • Performs evaluations and probationary assessments of support staff and ensures ongoing training as required.
  • Assess workloads and manages staffing levels to ensure the achievement of District needs.
  • Develops personal training programs to promote Human Resources support staff wellness and professional development.

SYSTEMS ADMINISTRATOR

  • Maintains and manages relationships with PowerSchool, the District’s integrated ERP system provider, to supply feedback and provide potential enhancement concepts and ideas in an effort to improve future system functionalities and efficiencies.
  • Coordinates system changes to ensure efficient and effective operation of Finance, Human Resources and Payroll operations.
  • Manages web security ensuring appropriate access to web based products for staff.
  • Manages technology and processes related to educational staffing.
  • Coordinates the implementation of new modules, including dashboards, requisition web, leave management, staffing notification and newly developed systems, as well as training authorizers and users of the system.
  • Researches best practices an recommends streamlining of processes.

POSITION QUALIFICATIONS

Education:

  • University degree in a related field or comparable combination of education and experience.
  • Certified Human Resource Professional (CHRP) designation preferred

Experience:

  • At least two years of experience specializing in staffing, recruitment and retention
  • At least two years of experience managing support staff
  • At least two years experience in maintaining ERP systems

Knowledge:

  • Demonstrated understanding in the administration of collective agreements in a complex, unionized environment.
  • Knowledge of ERP systems and sufficient expertise to advise others on the extraction and management of data and reporting.

Ability to:

As a key member of the Human Resources Team the successful applicant will develop labour relations strategies, protocol and processes affecting employees of the School District. The successful applicant will provide strategic grievance management. They will research and prepare the employer’s responses in conjunction with other Human Resource staff. EDUCATION and EXPERIENCE

  • University degree with a specialization in human resources or labour relations, or an equivalent combination of education and experience. Postgraduate education in labour law is an asset.
  • 7 years’ experience in labour relations in a complex unionized environment (preferably within the K-12 or public sector).
  • Proven track record in leading negotiations, preparing for and presenting at arbitrations and establishing effective relationships with unions and associations is an asset.
  • Thorough knowledge of current Human Resource Management practices and specifically those pertaining to labour relations.

Position Overview
The District Lead Youth and Family Support as a member of the District Team, reporting directly to the District Principal of the Learning Support Team, works alongside school teams to identify and support the most vulnerable children, youth, and families in the Greater Victoria School District with the goal of improving their educational outcomes.

As a member of the District Team, the District Lead will be expected to:

  • collaborate and communicate effectively with multiple school-based teams, families, and community-based agencies, ensuring that information and resources are accessible to students presenting with complex emotional, behavioural, mental health and/or substance use needs
  • liaise and support students with complex needs and their families across grade levels and schools in SD61
  • partner and liaise with community agencies providing supplemental supports and services for students with complex needs and their families

  • deliver attachment-based parent groups for parents of students with complex behavior and emotional needs
  • provide leadership for the implementation of SD61’s Children and Youth in Care (CYIC) Standard of Practice
  • orient new YFCs to their role in the context of the public school system
  • in collaboration with District and School Based Teams support chronically absent students through a student and family-centered approach; with the school team, co-develop student re-entry plans; provide targeted early intervention working with elementary and middle school teams
  • lead and assist the District Team with project planning and implementation that supports mental health, social emotional learning, transition planning, and professional development
  • maintain confidential records of communication and action as per School District 61 policies and regulations

QUALIFICATIONS

Education Requirements and Experience

  • University Undergraduate degree in the human services field (e.g. Child and Youth Care, Social Work, Counselling Psychology)
  • Minimum 5 years related work experience within the public school system at all levels (K-12) working with students and families with complex needs as a youth and family counsellor or equivalent experience.
  • Experience working with alternative school-based, community-based programming options and school district based supports and systems
  • Clear skills with culturally responsive conflict resolution practices, violent threat risk assessment, suicide assessment and problem solving
  • Strong understanding and practice of trauma and mental health, and the impact on youth and families
  • Extensive understanding and a working knowledge of provincial and community resources and the inner workings of MCFD and other community partners (e.g. Child and Youth Mental Health, Discovery Youth and Family Services, Island Health, Neighbourhood Houses, etc.)
  • Demonstrated ability to collaborate and build effective working relationships with community partnersand school teams

POSITION OVERVIEW

SPECIFIC RESPONSIBILITES

1.0 Technical Leadership

  • Lead technical direction and define cyber security requirements for all technology related projects regardless of origin (‘Security by Design’).
  • Continuously advise, maintain, and apply industry best practices in cyber security and data governance.
  • Champion strategies to protect the Greater Victoria School District’s data, communications, and technologies, from being stolen, manipulated, held at ransom, corrupted, or otherwise accessed illegally.

2.0 Planning & Execution

  • Perform cyber security assessments to test and identify network and system vulnerabilities.
  • Perform technical and operational audits and reviews of key internal control procedures.
  • Document relevant business processes and their implications with regards to cyber security.
  • Issue written reports outlining findings and recommendations based on audit results.
  • Assist with the automation of monitoring and alerting processes and workflows to improve cyber security efficiency.
  • Assess compliance with organizational cyber security rules and standards.
  • Prioritize remediation of gaps based on internal and external audits.
  • Coordinate security testing activities with staff, internal departments, and external partners.
  • Maintain cyber security and privacy standards and procedures as per policy and procedure.

3.0 Breach Response

  • Advise on the organization’s breach response plan and disaster recovery procedures.
  • Respond to all system and/or network security breaches as per policy and procedure.

4.0 Investigations

  • Provide forensic support to the organization as per policy and procedure.

5.0 Change Management

  • Participate in the change management process.
  • Evaluate the impact of change on students, staff, parents, and partners, as part of the cyber security risk mitigation process.

6.0 Training and Support

  • Drive cyber security awareness and training campaigns.
  • Collaborate with the Content Publisher to develop documentation and instructions for cyber security related procedures.
  • Conduct cyber security related training for staff.
  • Provide assistance to various stakeholders through a ticketing system and via direct contact.

7.0 Project Management

  • Plan and coordinate cyber security related projects.
  • Provide estimates for proposed cyber security related enhancements.
  • Work with project sponsors to define the scope, priority, and direction of projects.

POSITION QUALIFICATIONS

  • Minimum requirements include:
    • Sc. in computer science or related discipline
    • Four to six years cyber security experience within a technically complex organization
    • An equivalent combination of education and experience may be considered
  • Demonstration of initiative and proficiency in the following competencies:
    • Experience leading and overseeing security investigations, audits and assessments
    • Experience with Pen Testing and Hacking techniques
    • Experience with log management platforms (SIEMs)
    • Ability to document, graph or otherwise visual represent security concepts, configurations, and workflows

Reporting to the Director with oversite by the Associate Director, Major Capital of Facilities,the Manager of Major Capital Projects is responsiblefor planning and implementing all major capital projects including seismic upgrades, additions and replacements of District facilities.

The successful candidate will have ability to deal effectively with educators, contractors and other District staff, and with all work related contacts recognizing a diverse and complex client group. Applicants must demonstrate a thorough knowledge of facility related construction processes and procedures, project and time management practices, relevant legislation and energy conservation measures.

QUALIFICATIONS
Education and Experience:

  • Completion of relevant post-secondary education in Civil, Mechanical or Electrical Engineering, and
  • A minimum of 5 years of related experience including the supervision and coordination of professional employees, consultants and contractors
  • A Project Management Certification (PMP) is desirable
  • Direct experience working effectively with stakeholders (District staff, parent groups, engineers and vendors) in a management and/or leadership role is desirable
  • Designation as a Professional Engineer by a provincial certifying body is preferred

Reporting to the Director of Information Technology for Learning, the Manager of Information Technology For Learning will work with staff and stakeholders to oversee the implementation of enterprise IT systems in order to improve technology for students and staff, focusing on service quality and best of class technology integration.

As a member of the IT for Learning Management Team, duties include: leading and coaching staff to support their technical and professional excellence; managing and supporting the work of infrastructure, network and endpoint teams; planning and executing projects according to scope, deadlines, and budget; leading by example though collaboration in the spirit of service to others.

Minimum requirements include a B.Sc. in computer science or related discipline, four to six years management experience within a technically complex organization, and demonstrated experience with leading a team to successful outcomes. Stellar communication and teamwork skills are essential.

We are actively searching for an Executive Assistant to join our District. Reporting to the Deputy Superintendent, the Executive Assistant is the first point of contact by phone, email, and in person at the School District Office and provides administrative services including supporting public information and engagement efforts to keep our public informed, providing exemplary customer service, coordinating office procedures, and providing administrative and coordination support to public engagement projects and programs. This position deals with a high level of confidential information and requires the individual to function with a significant amount of independence and discretion. The position operates in a high volume environment with frequent interruptions and changing priorities.

POSITION DESCRIPTION
Executive Assistant

Provides confidential support to the Deputy Superintendent, managing schedule, confidential correspondence to internal and external contacts.

  • Assists with public workshops and events, including event coordination, scheduling, drafting and distributing events plans, preparing public materials, ordering refreshments and related supplies as required and note taking of meeting minutes, as needed.
  • Administers and monitors program/department budget allocations; coordinates purchases, reviews monthly financial transactions posted to the accounts
  • Composes correspondence, briefing notes, reports, forms and email as required and may edit and format draft documents as requested, including media releases, newsletters, website content)
  • Maintains files including the preparation and tracking of confidential and technical information to maintain accurate and current organizational data 

Coordinates and supports the board of education, developing agendas, taking minutes, liaising with trustees

  • Researches, extracts and collates information for preparation of memoranda, reports and other documents for internal and external distribution

Communications Officer support

  • Develops, maintains, and updates content on District website, online consultation, and social media tools (e.g. Twitter, Facebook, and LinkedIn) as directed.
  • Distributes and archives media releases, and monitors traditional and social media coverage daily. Completes daily media monitoring services for internal distribution to leadership, administration and Trustees
  • Assists in the implementation of new communications standards and templates to establish greater consistency and effectiveness across the District.
  • Recent experience with and knowledge of video shooting and editing programs/software, familiarity in Adobe Design and graphics, as well as creating online content including video and graphics.

Administrative team member

  • Coordinates administrative services including implementing and updating established administrative policies, procedures and services
  • Responds toinquiriesfrom District staff, parents, students, the public and Trustees and acts as a resource or contact person
  • Performs other assigned comparable or transient duties which are within the area of knowledge and skills required by this job description.

QUALIFICATIONS
Executive Assistant

EDUCATION
Completion of a post-secondary business administration (1 year) diploma or degree with an emphasis on office administration and communications or comparable

EXPERIENCE
Two (2) years’ communications or advanced administrative experience, including a variety of communications tools and updating websites and social media; or a combination of education and experience may be considered

Reporting to the Director of Facilities, the Energy Manager is responsible for all aspects of energy conservation initiatives across the Greater Victoria School District by providing leadership and coordinating the effective identification, promotion, implementation, and evaluation of energy conservation programs including the development of a long-term strategic energy management plan. The Energy Manager will liaise with BC Hydro and other stakeholders to ensure applicable agreements and initiatives are met.

Applicants must demonstrate a thorough knowledge of building, mechanical, electrical systems and building automation systems.   • Professional Engineer designation from a provincial licensing body is desirable.
